Job Description: We are seeking a highly organized and detail-oriented Administrator I-Engineering to join our dynamic engineering team. The ideal candidate will provide administrative and technical support to our engineers, ensuring that projects are completed efficiently and effectively.* Assist engineers with the preparation of project documentation, including reports, proposals, and presentations.

Coordinate and schedule meetings, appointments, and travel arrangements for the engineering team.

Maintain and organize engineering records, including drawings, specifications, and project files.

Support the procurement process by liaising with suppliers, obtaining quotes, and tracking orders.

Assist with the management of project timelines and deliverables to ensure deadlines are met.

Help with the implementation and maintenance of engineering systems and software.

Collaborate with cross-functional teams to facilitate communication and project progress.

Ensure compliance with company policies, industry standards, and regulatory requirements.

Provide general administrative support such as data entry, filing, and responding to correspondence.

  • Manage office supplies inventory and place orders as necessary.

  • Perform receptionist duties: greet visitors, answer, and direct phone calls.

  • Schedule and coordinate appointments and meetings.

  • Maintain a clean and organized office environment.

  • Assist in the preparation of regularly scheduled reports.

  • Support team by performing tasks related to organization and strong communication.

  • Develop and maintain a filing system.

  • Update and maintain office policies and procedures.

  • Handle sensitive information in a confidential manner.

  • Coordinate with IT department on all office equipment.

  • Ensure that all items are invoiced and paid on time.

  • Manage contract and price negotiations with office vendors and service providers.

  • Provide general support to visitors.

  • Act as the main point of contact for suppliers, couriers, building management, and any other external parties, as well as key internal organizations such as Finance, Logistics and Operations.

  • Provide support and coordination for shipping and logistics (internal shipments) and undertake Administrator Role for Shipping Authorization (SA) system

Requirements/Qualifications:* Associate's degree in Engineering Technology, Business Administration, or related field; Bachelor's degree preferred.

The ideal candidate must be available to work a minimum of 25 hours per week.

Proven experience as an assistant in an engineering or technical environment is a plus.

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite and familiarity with engineering software.

Ability to work independently and as part of a team.

Keen attention to detail and problem-solving skills.

Knowledge of project management principles and practices.
