Your role

The Marketing Executive cum Program Advisor (New Initiatives) is responsible for planning and running direct marketing activities specifically designed to generate inquiries and sales for all New Initiatives products. They also oversee digital marketing efforts, ensuring compelling content creation and collaboration with agencies to manage digital leads in Hanoi. A mix of marketing and communication promotion activities is developed to raise awareness of RMIT New Initiatives products and engage prospective students for programs offered at the relevant campus. The effectiveness of the Program Advisor's performance is directly tied to the enrolment numbers of New Initiatives programs. This role includes managing the entire student recruitment process, from initial contact through admissions, requiring a comprehensive understanding of SEUP’s programs, courses, enrolment processes, and key marketing messages associated with each program and service at RMIT Vietnam. Emphasizing customer service excellence, the position ensures adherence to standards and processes while driving inquiries and enrolments through strategic marketing initiatives.

Your Responsibilities

Marketing Executive* Event planning and management: Forecast and manage onsite and offsite events across different units of the department based on a comprehensive annual events plan. Coordinate and assist in organizing marketing and recruitment events such as Information Days, Information Nights, Program Workshops, Program Launching events, Experience Days, Recruitment Exhibitions and local school activities co-hosted by Schools of RMIT Vietnam and/or other educational institutions and stakeholders.

Event logistics: Manage the registration system for major events like Teen Explorers Day and IELTS workshops, liaising with suppliers/freelancers, preparing payments, and ensuring smooth equipment operation during events. Maintain accurate records for all events, including facility usage requests, invoices, payments, floor plans, menus, feedback forms, and promotional materials.

Stakeholder communication and coordination: Serve as the central point of contact for the School of English \& University Pathways, liaising with internal and external stakeholders regarding event kick-off meetings, briefings, and debriefings. Communicate plans with internal stakeholders timely, incorporating updated information as needed.

Partnership management: Manage key partners to ensure smooth implementation of partnerships, fostering strong relationships that lead to sales generation.

Promotional campaigns: Plan and implement integrated promotional campaigns aimed at student enrolment growth for relevant campuses, adhering to brand guidelines and campaign strategies. Collaborate with graphic designers to create artwork for campaigns, including Facebook ads and promotional materials.

Digital marketing: Work closely with a specialized digital agency to effectively allocate budgets and content for Facebook digital ads in Hanoi. Optimize cost-per-lead (CPL) and lead qualification, review monthly reports, and propose solutions for improved results. Develop and adjust content and video clips for Facebook ads to attract the targeted audience, aiming to enhance conversion rates.

Client acquisition and Competitor analysis: Collaborate with the nationwide team and Hanoi SAEM to contribute to client acquisition strategies for corporate programs, supporting marketing and sales activities to enhance brand awareness and secure new client contracts. Maintain knowledge of competitors and their product offerings to effectively communicate points of differentiation to SEUP customers.

Reporting and evaluation: Develop timely and comprehensive reports for each event in collaboration with the Student Recruitment \& Marketing Manager, reflecting KPIs and areas for improvement. Supervise, coach, and evaluate event interns, developing guidelines and scopes of work.

General support: Perform other duties as required by the Student Recruitment \& Marketing Manager. Ensure that the SEUP’s yearly marketing plan is upheld and implemented, organizing events in sufficient volume to achieve sales leads and meet yearly KPI targets.

Program Advisor* Customer information delivery: Serve as the primary contact for providing accurate and comprehensive information to customers about the NI products. Ensure all advice regarding SEUP programs, entry requirements, admissions, and selection processes is up-to-date, clear, accurate, transparent, and timely.

Recruitment and Enrollment Process: Oversee the SEUP recruitment and enrollment process from the first inquiry to enrollment, ensuring a high level of service across all customer touchpoints. Understand and work towards achieving the required KPIs, including calls, inquiries, applications, placement tests, and enrollments.

CRM management: Follow CRM usage guidelines and execute the communications plan for prospective students. Ensure accurate and timely data entry into the CRM from recruitment events and related activities and report on their effectiveness.

Reporting and Coordination: Communicate with the Recruitment \& Marketing Manager, SEUP Managers, and relevant stakeholders regarding individual sales targets, enrollment numbers, placement testing, English entry levels, inquiry volumes, and emerging trends and challenges.

Presentation and promotion: Act as a presenter and MC during student recruitment activities and promotional events, showcasing English language programs and strengthening the RMIT global brand nationally.

Recruit, train, engage, and manage supporters/ interns, ensuring they are effectively integrated into the event and recruitment process. Oversee their working hours and ensure they contribute positively to recruitment activities.

Additional duties: Perform any other relevant duties as required.

Key Selection Criteria* A Bachelor Degree in a relevant field with a major of Events Management, Marketing, Sales or Communication or similar.

At least 3 years’ experience in coordinating, managing events and working in customer service and/or sales roles.

Well-developed and demonstrable interpersonal skills, including negotiation, liaison, and cross-cultural communication specifically in relation to customer relationship and sales functions.

Good knowledge of venue options, F\&B and event-related production.

Ability to work independently with minimal supervision or as part of a team

Excellent customer service ethics and high expectations of quality.

Well-developed planning, organizational and problem-solving skills with the ability to supervise, coordinate and/or implement multiple tasks and projects simultaneously in a timely and detail-oriented fashion

Attention to detail and accuracy when managing and communicating information and when entering data

Excellent verbal and written communication skills

Experience using database systems, organising events in the education industry

Experience working with a wide range of suppliers, contractors, production houses, and event agencies regarding supplier contract management, performance evaluation and OHS.

Sound knowledge and skills using Adobe-Illustrator and CRM systems.

Ability to display appropriate behaviours in line with the position and RMIT Values

English is the language of teaching and communication at RMIT Vietnam.
