Job Description:
This is a position in our Tour Director Department in Merida, responsible for coordinating and helping supervise all Tour Director administration. You will have an important part to play in helping plan and execute our recruitment process for new tour directors whilst also supporting a number of functions related to managing, assisting and facilitating our current pool of experienced TDs.
Responsibilities:
Finance
Checks float calculation, approves expense reconciliation, update and pays salaries.
Manages cash card creation and monitors their usage.
Participates in collection of previous years tour data for budgets each year to determine cost per tour.
Assists manager with the negotiation of TD material costs \& material ordering.
Recruitment
Helps forecast recruitment need and implementation of the search \& selection process.
Using local and national media as well as developing our referral program help to develop strong pipeline of candidates.
Initiate candidate screening, plan group interviews and assist with recruitment.
Training
Helps the team organize, plan and deliver annual TD training for new recruits in LAM.
Arranges venue, accommodation and owns training admin.
Help arrange practical tour shadowing \& provide briefings pre-tour.
Compliance
Keeps informed about industry requirements in term of safety and security \& Child safety.
Ensures all employment related information concerning TDs is up to date for file.
Ensures all agreements and Criminal records have been collected for final employment approval.
Tour allocation
Helps build and maintain our active allocations files. (including Accounts and Profile creations)
Builds and maintains working relationship with Tour Directors throughout the year so that a pipeline is secured for future tour needs.
Maintains and develops database of active tour directors.
Communication
Informs tour directors about company developments and updates.
Ensures that all related departments including tour directors are regularly informed of any process or procedure changes throughout the season.
Helps plan and manage the yearly Tour director Trainings.
Assist with the venue, accommodation and travel arrangements
Keeps tour directors informed about corporate news and advises.
Quality control/MI
Reviews Tour directors' evaluation weekly during the season and at end of season to ensure quality control.
Ensures that the Tour Diary and Tour Director accounts are up to date and maintained to ensure correct information and efficiency.
Keep all trackers up to date.
People management
Supervises any temporary staff that assists in the tour director department.
Trains temporary staff or new staff on system and Tour director department processes.
Assumes additional responsibilities as requested.
Qualifications:
A bachelor's degree in a related field preferred.
Fluent English.
A minimum of two years progressive industry experience with a solid understanding of the student travel industry.
Solid understanding of American and Canadian market
Strong understanding of LAM culture
Knowledge of local recruitment methods and recruitment platforms welcomed
Attention to detail and ability to track and document multiple projects simultaneously
Strong communication skills including the ability to work with all levels of employees.
Proficient computer skills and the ability to learn new software products are a must.
Ability to multi-task projects and responsibilities and strong prioritization skills.
